Privacy Policy
Last updated: 5 August 2026
That's My Bike ("we", "us") operates a property registry and recovery assistance platform. This policy explains what personal data we collect, why, and how we handle it. By creating an account you agree to this policy.
Data we collect
- Account data: name, email address, and authentication credentials (stored as hashed tokens, never as plain-text passwords).
- Property records: item names, descriptions, serial numbers, photographs, receipts, identifying marks, and purchase details you register.
- Theft reports: date, location, circumstances, police report numbers and jurisdiction, and reward amounts.
- Sighting reports: information submitted by someone who believes they have seen your item, including their contact details and the location or marketplace URL.
- Usage data: basic analytics events (e.g. button clicks) to improve the service. We do not use third-party advertising trackers.
How we use your data
- To maintain your private registry of protected items.
- To monitor marketplaces for potential matches to your reported stolen items and notify you.
- To generate ownership and evidence reports you can share with police or insurers.
- To send service emails: renewal reminders, match alerts, and account-security notices.
- To fulfil our legal obligations and respond to lawful requests from law enforcement.
Who we share data with
We do not sell your data. We only share information in these circumstances:
- With police forces or insurers when you, or a lawful authority, request evidence to support recovery of a registered item.
- The public scan page linked from a QR label shows only that an item is registered — never your name, email, or address.
- With service providers who help us run the platform (e.g. hosting, email delivery), under contract and only to the extent necessary.
Data retention
We keep your property records for as long as your account is active and any related theft case remains open. You can delete individual items or your entire account at any time; we remove the associated data within 30 days, except where law requires us to retain records.
Security
Data is encrypted in transit and at rest. Access to your account is protected by authentication, and we encourage you to use a strong, unique password. Despite these measures, no online service can guarantee absolute security.
Storage on your device
We use local browser storage to keep you signed in. We do not place advertising or cross-site tracking cookies.
Your rights
- Access and download a copy of the data we hold about you.
- Correct inaccurate information.
- Request deletion of your account and associated records.
- Withdraw consent for optional communications at any time.
